Pick the kind of holiday party first

A venue works best when its layout matches the evening. Decide whether you need a shared restaurant table, private dinner, reception or room for dinner followed by speeches and dancing.

FormatMain question
Restaurant group dinnerAre we seated together, and is a group menu required?
Semi-private diningWhat separates our group from other customers?
Private dining roomDo we have exclusive use and dedicated service?
Reception spaceIs there enough seating for people who need it?
Banquet roomDoes the layout fit tables, buffet, stage and any dance floor?

Do not compare venues solely by maximum guest capacity. A room’s standing reception count can be very different from its comfortable seated dinner count.

Holiday party venue costs

Ask for an example final invoice using your guest count and event duration.

Room fee + food and drinks + staff + service charges + rentals + AV + transport = the planning total.

A food-and-beverage minimum is usually an amount you must spend under the venue’s terms, not necessarily an additional rental fee. Ask what counts toward it, and whether service charges or gratuity are excluded.

Confirm the following in writing:

  • Rental duration, including setup and breakdown.
  • Food and beverage minimums.
  • In-house catering requirements.
  • Bar format and whether you can set a spending cap.
  • Service charges and gratuity policy.
  • Tables, chairs, linens and place settings.
  • Microphone, speakers, projection and technical support.
  • Overtime, cancellation and deposit terms.

For a hypothetical comparison, a $500 room plus $3,000 minimum can cost more than a $1,000 room where your complete food proposal is $2,000. Compare the actual proposal totals, not those illustrative numbers.

Small office parties and family dinners

Ask for the smallest suitable room. A handful of guests in a large banquet space can feel isolated and may carry a minimum suited to a much bigger group.

If you choose semi-private dining, ask what is shared: entrances, restrooms, bar, music and adjacent seating. Find out whether speeches or a gift exchange will disrupt normal restaurant service.

A family dinner with young children may benefit from earlier timing and a simpler menu. Confirm how children count toward the guest total and whether high chairs or space for a stroller can be accommodated.

Larger company events

Build the floor plan around the activities. A buffet needs room for guests to queue without blocking doors. Speeches need a microphone people can hear. A gift table, photo area or check-in desk also takes space.

Include partners and invited guests in your estimate early. Set one final-count deadline and decide who can approve changes. Tell the venue if employees will arrive at different times.

If there will be music or dancing, ask about sound rules and where that activity fits. Do not assume every private dining space functions as a late-night event room.

Winter access, lodging and transportation

In Bend, the trip to and from the party is part of the planning. Ask about maintained access, parking, pickup areas and the route from the parking area to the room.

For a party involving alcohol, establish a ride plan before the invitation goes out. Give guests a useful pickup location rather than assuming every vehicle can wait beside the entrance.

For visiting staff or relatives, compare on-site lodging, room-block terms and cancellation dates. Check whether the room rate is separate from the venue contract.

If weather affects the event, know who decides to postpone and what the contract allows. A forecast concern does not automatically waive a deposit.

Questions for a holiday party site visit

  1. Can we see the exact room offered?
  2. What is its seated capacity with our proposed layout?
  3. Is the space fully private?
  4. Can every guest reach the room and restroom comfortably?
  5. How will food and drinks be served?
  6. Which vendors must we use?
  7. Where do coats, gifts and equipment go?
  8. What is included in the AV setup?
  9. When must music and the event end?
  10. What would our complete invoice look like?

Take a photo of the room and request a floor plan. That helps the catering, decor and event timeline fit the actual space.

FAQ

Common questions

Where can I host a company holiday party in Bend?

Riverhouse, Tetherow, McMenamins Old St. Francis School and Deschutes Brewery advertise group or private event options. Ask which room fits your count and whether food service is included.

What does a holiday party venue cost in Bend?

Compare room rental plus any food-and-beverage minimum, staff, service charge, rentals, AV and overtime. A low room fee does not mean a low total event cost.

Can I bring my own caterer to a Bend holiday party venue?

Only if the venue permits it. Check required in-house catering, approved vendors, kitchen access and insurance before booking a separate caterer.

How do I find a small private holiday dinner space?

Ask restaurants and event properties for a room suited to your count, not their largest event capacity. Clarify exclusive use, shared areas and minimum spend.

Should I consider January for an office holiday party?

It can be an alternative when December dates do not work. Ask providers for both dates; do not assume January automatically brings a discount.
